Making a Grade or Fee Appeal

How much time do I have appeal?
You have 30 calendar days from the end of term to appeal for that term.

How do I appeal my fees?
Send a letter to the Office of the Registrar, saying why you believe you shouldn't have to pay your fees. Include all the information you think will help us make a fair decision. Include dates and facts. Provide back-up where possible. Send your appeal letter: by fax to 519.452.4420 or in person to room E1012 or by email to mturner@fanshawec.ca. You can't appeal your fees if you are still active in your program or course.

What happens next?
We review your letter and we might ask for more information — for example, if you have a medical reason, we would ask for a letter from your doctor. We will talk to your academic division. One way or another, we will get back to you within 14 calendar days.

Can somebody else act for me?
Yes, provided you give us written permission for them to act for you, and for us to talk to them. We aren't allowed to share your personal information unless you say so.

What are my chances that I'll get money back?
Appeals are only granted for the following reasons:
- Substantiated medical cause where you were under direct medical care (for example, surgery, accident, depression).

- Substantiated personal cause (for example, a tragic personal event).

- Significant College error such that it jeopardized your chances of completing your course or program. Your ancillary fees will not be refunded. Your tuition fee may be prorated to your withdrawal date. Get more information in Fanshawe's student fee policy, section 3.16, at www.fanshawec.ca/policies/2e01.pdf.

What if you don't grant my appeal?
You may launch a second level appeal to the Registrar. You have 14 calendar days from when you receive the first decision. The process is the same.

Appealing your grade or another academic decision

When would I want to appeal a grade or an academic decision?
You would typically appeal if you felt the decision was incorrect, not fair, or not consistent.

How do I appeal my grades, or another academic decision?
- Try talking to your teacher first — you are allowed to see all tests, reports, evaluation criteria and grade calculations.

- Try talking to your program coordinator or your academic chair or dean.

- Try talking to the Ombuds in A2026 - you can call 519.452.4430, x4755.

Try to solve the problem formally — first level
- Check the full policy on the website at www.fanshawec.ca/policies/2g02.pdf.

- Get an “Appeal of a Grade, End of Level, Academic Offence, or Code of Conduct Offence” form at the Office of the Registrar in E1012. It will cost you $40 but if you win the appeal you get it back. You must submit this form and pay the fee no later than 30 calendar days after the end of the term you are appealing.

- You'll hear back in 14 days. If you aren't satisfied with the decision, you may launch a second level appeal.

Try to solve the problem formally — second level

- Check the full policy on the website at www.fanshawec.ca/policies/2g02.pdf. Second level appeals are a lot more complicated.

- Get another “Appeal of a Grade, End of Level, Academic Offence, or Code of Conduct Offence” form at the Office of the Registrar in E1012. This one doesn't cost you anything. You must submit this form no later than 14 calendar days after you receive the first level response.

- You'll be informed of the next stage: for example, the Senior Vice-President Academic may set up a formal Academic Review Committee.

Whose responsibility?
- Îf you believe your grade is wrong, it's your job to convince the committee that your grade should be reviewed. You must raise reasonable doubt that the grade is accurate or fair.

- If you are accused of an offence like plagiarism or cheating, it's the college's job to convince the committee that you did the offence.

Requesting a grade change from F to N

What is an “F to N”?
If you have been given an ‘F' grade, and you believe there are compassionate or extraordinary circumstances beyond your legitimate control that led to the F grade, you may apply for a change from ‘F' to ‘N' (no credit achieved).

How do I apply for an “F to N”?

- Get an “Application for Change of an ‘F' Grade for Compassionate or Very Extraordinary Circumstances” at the Office of the Registrar in E1012. You must submit this form no later than 30 calendar days after the end of the term you are appealing. You'll hear back in 14 days. If you aren't satisfied with the decision, you may launch a second level appeal.
