Policy Changes

What are the policies?
Fanshawe College has policies to prevent or resolve difficulties or complaints, to launch academic appeals, to protect human rights, and to define expectations for behaviour and responsibilities. They also provide you with information that can impact your life, including information about refund and withdrawal dates, or rules for academic progression.

Where are the policies?
College Policies are available in the Library, Fanshawe Student Union office, Counselling and Student Life Office, divisional offices, the Ombuds Office and the main offices of area campuses. Most are also available on the Fanshawe College web site at www.fanshawec.ca/policies and on FanshaweOnline in the Student Services section.

Please note that policies are reviewed regularly and are subject to change. If you are making a decision based on a policy, we recommend that you go to www.fanshawec.ca/policies for full details — don't rely on this summary!

F.A.T.SStudent Fees (2-E-01)
Students who withdraw from a program or course past the refund deadline have the right to appeal the withholding of these fees. If you wish to appeal the withholding of your fees, submit a written appeal to the Associate Registrar, Information and Customer Services, and clearly state the reasons your appeal should be considered. Dates, circumstances, how these circumstances affected your ability to continue in your program or course, and substantiation to verify these circumstances must be provided. You have 30 calendar days from the last day of the academic semester to make your appeal for that semester.

The Associate Registrar will respond within 14 calendar days. If the Associate Registrar requests further information, you have 14 calendar days to submit the information or your appeal may be denied. The Associate Registrar will provide a final written response within 14 calendar days. In some cases, the parties may mutually agree on a longer period of time.

If you are dissatisfied with the decision, you can make a second-level appeal to the Registrar within 14 calendar days. Timelines for these interactions mirror those in the first level appeal. Again, in some cases, the parties may mutually agree on a longer period of time. The Registrar will provide a written response. The decision of the Registrar is final.

The appeal may be granted based only on these circumstances:
Substantiated medical cause where you were under direct medical care (e.g. surgery, accident, depression). The medical condition may be specifically related to a program requirement.

Substantiation may be a letter from a certified medical practitioner and will include dates where you were under his/her care, as well as identifying the medical condition or circumstances.

Substantiated personal cause (e.g. tragic, personal event). Substantiation will be based on the nature of the event but may take the form of an obituary in the case of bereavement.

Significant College error such that successful completion of your program or course was jeopardized.

In the event the appeal is successful, tuition fees may be refunded in full or may be pro-rated based on the length of time you were actively involved in the program or course. Ancillary fees will not be refunded.

Please read the policy for full details.
